We’re looking for a Client Services & Scheduling Officer who thrives in a people-focused environment. You’ll be the first point of contact for new and existing families-providing high-quality information, coordinating services, and ensuring schedules run like clockwork.
What You’ll Be Doing
- Be the warm and professional first point of contact for existing client enquiries ( services , NDIS Plan dates , changes to schedules or services )
- Provide clear and compassionate information about ABAlink’s services and guide families through their onboarding journey
- Manage and maintain therapy schedules using our rostering system (Deputy), ensuring accurate and forward-planned resourcing
- Complete new client onboarding tasks including documentation, CRM entry (Zoho), NDIS service agreements, and adhoc payment processing
- Liaise with Program Supervisors, Talent Manager, and Accounts to support smooth service delivery and staffing
- Assist in driving the success of programs through excellent service coordination and communication
- Maintain up-to-date client records, prepare weekly reports, and support compliance with NDIS requirements
- Collaborate across the clinical, admin, and operations teams to ensure no child falls through the cracks
What We’re Looking For
- Experienced customer service professional with a passion for helping families
- Strong organisation and scheduling skills with an ability to manage multiple priorities under pressure
- Confident communicator-verbal, phone and written-with a warm, clear, and helpful approach
- Tech-savvy with experience using CRM tools (Zoho desirable), rostering platforms (Deputy), and Microsoft Office Suite
- Proactive problem-solver with strong attention to detail and a focus on quality outcomes
- A mature, collaborative team player with a self-starter attitude and resilience
- Understanding of (or willingness to learn about) the NDIS and early intervention landscape
- WWCC, NDIS Worker Screening check
